On Friday, November 22nd new position tracking functionality and enhancements were introduced including:

PeopleSoft Position Form Enhancements:

• Display preparer name and submit date/time when viewing, editing or approving a position
• Modified summary of changes so it includes all proposed changes after being saved, pushed back or cancelled
• Modified reports to and dotted line reports field to include incumbent name in the search field and results grid and to only show active positions
• Added lookup...

We are a little over a month live with the first major phase of Position Tracking and Reporting. A HUGE thank you to those of you in the schools and units that have put so much effort into making this transition as smooth as possible. Since we have been live, you have collectively processed over 1,300 position requests. Your partnership and patience has been greatly appreciated by the team.

On Friday, November 1^st we introduced new position history functionality. All position tracking users now have access to a position history tile which allows them to view the history of all incumbents and of all approved changes for a given position. Position Tracking will go live over the weekend of October 5-6^th.

During this time, position numbers will be created in PeopleSoft for all staff, including union positions. Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time. HUBS Reminder: Release 3.12 Outage

HUBS will be unavailable starting at 5pm on Friday Nov 16, all day Saturday Nov 17 and on Sunday Nov 18, for the installation of Release 3.12. HUBS will become available again at the start of business day on Monday, Nov 19.

Please note that HUBS includes Smart View, MYFP, Interim Reporting and TEFA, and these applications will be unavailable during the release installation as well.

This is a reminder that HUBS will be unavailable from 5 p.m. on Tuesday, September 18, until the start of business the next morning, Wednesday, September 19. The outage is necessary to accommodate the move of LDAP Services to the cloud. All HUBS Overnight Processes will run as usual.

HUBS will also be impacted when Harvard’s Data Warehouse (HDW) moves to the cloud between September 20-24. During this move:

• HUBS will be updated as usual on the night of Wednesday, September 19 to bring in actuals for the Reporting Applications and COA values to both...

HUBS will be unavailable from 5 p.m. on Tuesday, September 18, until the start of business the next morning, Wednesday, September 19.

LDAP Services is moving to the cloud and the outage is necessary to accommodate the move.

In addition, please note that the new fiscal year, FY19, will be recognized as the current fiscal year in HUBS on the following dates:

• In the Reporting Applications starting on the morning of Monday, July 2
• In the Planning Applications starting on the morning of Monday, July 9

If you have reports to run and you would like FY18 to show as the current year, run them on or before Friday July 6 because the current fiscal year will change during processes that will run over the weekend of July 6.

A couple of questions that typically arise this time of year are listed below along with links to various pages in the HUBS Wiki that may be helpful as well. As always, users should send an email to hubs@harvard.edu for additional information when needed.

When is the data in Plan-Working in the Reporting Applications Updated?

The data in Plan-Working in the Reporting Applications is updated with the latest data from the CINA cube in the Planning/Budgeting Applications every workday between noon and 1 p.m. and every Monday-Friday night during the HUBS Overnight Processes, excluding holidays. For example:

• Changes made to CINA Plan-Working during a workday morning will be in your Reporting Application that afternoon.
• Changes made to CINA Plan-Working during a workday afternoon or night (up to 11 p.m.) will be in your Reporting Application the next morning.
• Changes made to CINA in Plan-Working during the weekend will be in your Reporting Application the next workday afternoon. In most cases this will be Monday afternoon but when there is a Monday holiday it will be Tuesday afternoon. An exception to this logic would be when a special run of the Overnight Processes occurs during the weekend - the changes would be available in Reporting earlier than usual, and this is the case over the next few weeks.

The HUBS Team has scheduled special runs of the Overnight Processes over the next four weeks as listed below. These special runs will make the weekend changes available at the start of Monday, except it will be Tuesday for the first week in the list since that Monday is a holiday:

• Monday night, February 19
• Sunday night, February 25
• Sunday night, March 4
• Sunday night, March 11

Overnight Processes for this Friday, November 17, Rescheduled

Due to a release for Harvard’s Data Warehouse (HDW) this weekend, the overnight processes in HUBS have been rescheduled from Friday night, November 17, to Sunday night, November 19. The overnight processes in HUBS include tasks to add new chart of account values, new employees, and more. HUBS Outage Saturday, December 9

The HUBS Exalytics server is moving to a new location and HUBS will be unavailable during that time. The server is moving from 60 Oxford Street in Cambridge to 1 Summer St in Boston. The outage will begin at 5pm on Friday, September 15, and it will last all through the weekend; HUBS will become available again at the start of business on Monday, September 18. Should HUBS become available earlier than planned an email will be sent to all users.

The HUBS Exalytics server will be physically moving in September and HUBS will be unavailable during that time. The outage will begin at 5pm on Friday, September 15, and it will last all through the weekend; HUBS will become available again at the start of business on Monday, September 18.
