  • 1: Average query time to run in seconds
  • 770: Distinct Users logged into HART during this period
  • 90,375 queries were run in May

HART June Release

The next monthly HART release will begin on Friday, June 25, 2021, at 7 pm.  The release is expected to be complete by 6 am Saturday, June 26, 2021.

Fiscal Year-End 2021 Reporting Tips and Tricks

Here's how to make your fiscal year-end reporting a little bit easier using the Harvard Analytics and Reporting Tool (HART):

  • System Availability Reminder: The Data Warehouse nightly loads run from 8 p.m. – 7 a.m.  It's recommended that you not run dashboards during this time, as an incomplete nightly close process may provide you with incomplete data.
  • Speed Up Results for Long Data Pulls by Creating Cache: Consider running the Transaction Listing dashboard against Tub first, over a small time period, to create a system cache.  Then add additional prompts/apply a customization to coax faster results.
  • Use a Transaction Listing Lite Dashboard:  If you don't need all Org and Object hierarchies in your search results, consider using these dashboards instead of the regular Transaction Listing versions. These dashboards are streamlined versions of the regular Transaction Listing All, Limited Comp, and Summ Comp dashboards, producing speedier results and featuring the most used 29 columns.
  • Choose CSV Format to Export Large Data Sets: Click the “Export” link directly below the search results, then select Data>CSV Format to obtain your results faster.
  • Add the Posted Date Column to Your Search Results: Effective Date=Transaction Date.  The Posted Date column identifies if a June transaction was posted in July/August.
  • Use the Period Prompt: Always use the Period prompt by itself or in combination with other prompts to obtain your results faster.
  • How the Period to Period Prompt Works During Fiscal Year End: During Fiscal Year-End, two fiscal years will be open. This will affect the results that you get when using the Period to Period prompts:
    • HART will see the current fiscal year as FY22.
    • The Prior Fiscal Year selection will return FY21 data.
    • The Current Fiscal Year to Last Closed Period will not return any data because there is no closed period in June FY21 until the 5th and final close.
    • The Current Fiscal Year to Current Open Period will show transactions posted to the month of July 2021.
  • How to Avoid Having to Remember All of the Above Rules: Use the Fiscal Year Prompt!  Select Fiscal Year 2021 and Fiscal Year 2022 to get both years at the same time.
  • Working with the Closing Selection Prompt:
    • The Closing Selection prompt will be updated with FY21 close dates on July 1.
    • Use the Closing Selection prompt in conjunction with the appropriate Period prompt selection(s) for faster results.
    • When a Closing Selection prompt range is selected, you get everything that was posted during that time frame, whether it was posted to June or July.
    • Use the Closing Selection prompt in conjunction with the appropriate Period prompt selection(s) to ensure you are getting only the data you want.
