Faculty Conversion for Position Tracking and Planned Outage

On Friday March 20th the position conversion for remaining employee classes in PeopleSoft will take place. Position numbers will be created for about 1,600 employees: 

  • Senior and Junior Faculty at the Faculty of Arts & Sciences, Graduate School of Design, Harvard Kennedy School, Harvard Medical School and Harvard School of Dental Medicine 
  • Other Academics for Harvard Medical School and Harvard School of Dental Medicine only

Positions will be created for paid appointments only, with the exception of the Faculty of Arts & Sciences which will convert both paid and non-paid.

All other Schools and Central Administration units completed faculty conversion back in October and will not have any new positions created on this date. 

All newly created positions from the conversion will have an effective date of April 1, 2020. 

In order to support this conversion:

  • All PeopleSoft and Aurora users will be locked out of the systems on Friday, March 20th after 5pm.  We anticipate PeopleSoft will be available again that evening. Aurora will be available by noon on Saturday, March 21st.
  • Users may experience delays in new position numbers and updates to position data appearing in Harvard Careers during the conversion timeframe
  • Workforce Analytics Qlik will remain available during the conversion and users can expect to see new positions in applications on Monday, March 23rd
  • The Harvard University Budgeting System (HUBS) will not have an outage during this time.  Planners can expect to see these new position values in their HUBS application by April 3rd

There will be no new functionality delivered at this time, just new positions will be created.
