HUBS:  Daily Refresh of Actuals, 5 Years Historical Actuals and More Chart of Account Detail

This month the HUBS Team released new reporting applications for all schools and central units. The applications were made available to individuals with the role of Tub Finance Office in HUBS and to all Smart View users on November 10th.  All other users will have access on Monday, November 24th.

The new applications are specifically designed to store larger volumes of data and their lone purpose is to fulfill financial reporting needs. The following eleven, popular HUBS reports have been replicated in the new reporting applications along with a new report that extracts budget data at the 7 segment/33 digit level:

  • NEW: FRRC208 HUBS Chart of Account String Extract

Users will find the reports in a new folder named Reporting which is right under their Planning folder in the Workspace.  Users should note that the prefix of the reports in the Reporting folder has been changed to FRRC.  The prefix change is to help users distinguish between a report run from the Reporting application and a report run from Planning Budgeting application.

The actuals in the new applications are refreshed daily and new year-to-date period members have been added to manage the view of the data.  The new period member YTD-Oct, for example, would result in retrieving the year-to-date actuals as of the last closed period (since October was the last period closed), while YTD-Nov would show the actuals for the entire year up through the end of yesterday (the last business day of the current period).  The new period members provide a familiar data experience for individuals who are users of CREW reports. 

With five years of historical actuals, a daily refresh of the current year actuals, and new year-to-date period members, a simple Smart View grid as shown below provides a quick, yet powerful, view of the data.  Add to that the zoom-in and zoom-out features of Smart View and users can find the data they want at their fingertips:

And there is more.  The balance sheet object codes are available to the TFO in the new applications.  By using the balance sheet object codes along with the new year-to-date period members TFO users can see the balance of each account during the year right on their Smart View grid.

How do you get access to the new reporting applications?  Easy, all users automatically inherit access to the reporting applications from their HUBS access – there are no additional steps required to use the new applications – if you have access to HUBS you will have access to the reporting applications.
