HUBS Release 3.6 on May 21, Overnight Process Delays in April

HUBS Release 3.6 is on its way and it includes a variety of enhancements and defect corrections. Many of the changes in this release are for utilities and eliminate some of the pain points experienced by both users and HUBS Administrators alike. A couple of the release highlights are listed here:

    • The number of files that can be uploaded at one time in the Generic File Upload process has been increased from one to four files.
    • Enhancements have been made to overnight processes to improve performance and shorten the overall completion time of the overnight activities.

      There will be a small outage for the installation of the release. HUBS will become unavailable at 8:00pm on Friday, May 20, and will remain unavailable to users until noontime on Saturday, May 21.

      On another note, please be advised that the HUBS Overnight Processes scheduled for Friday April 15 and for Friday April 22 have been delayed due to the University’s financial systems release, FINDINI 4.0.9. The April 15 processes have been rescheduled to run overnight on Sunday April 17 and the April 22 processes cannot be run before Monday therefore the processes will not run again until the overnight on Monday April 25. The impact to users will occur mostly on the weekends but Monday April 25 is also impacted. The details of the impact is described below:

      1. The actuals in the Reporting Applications will be reflective of GL activity at the end of the day on Thursday, April 14th, and will include the Quarterly close actuals.
      2. The Quarterly close actuals due in the Planning Applications on Saturday will be in the Planning Applications Monday morning.
      3. Plan-Working data in the Reporting Applications will be reflective of Plan-Working in the Planning Applications on Friday at noon; other scenario-versions in Reporting will be reflective of the Planning Applications at the end of the day on Thursday, April 14th.
      4. User Defined Fact (UDF) files and Employee/Position dimension files that were expected to be processed Friday night will be processed Sunday night.
      5. New/modified chart of account values that were expected on Saturday will be in HUBS on Monday morning.
      6. The overnight data extract files that are generated by HUBS will be as of the end of the day on Thursday, April 14, until Monday morning when they will be as of the end of the day on Sunday.
      7. During the weekend UDF files cannot be uploaded and CCID validations cannot be run; users will receive an error should they try.
      8. The business rules to calculate salary expenses and to transfer the expenses from the EE database to the CINA database will not run on Friday night but they will run as usual during the weekend; the calculation rule runs about every two hours from 9am until 9pm and the transfer rule runs about once an hour starting at 8:30am.  Users can also launch the rules themselves at any time from their task list - they are rules BRBE077 (calculate salary expenses), BRBC012 (move expenses to CINA).  Users may also want to run the CINA aggregation rule, BRBE014, since that only runs on the overnight. 

      The April 22 delay impacts April 23, 24 and 25 (Saturday, Sunday and Monday) as follows:

      1. The actuals in the Reporting Applications will be reflective of GL activity at the end of the day on Thursday, April 21th.
      2. During the weekend the Plan-Working data in the Reporting Applications will be reflective of Plan-Working in the Planning Applications on Friday at noon.  On Monday at noon the regular schedule resumes and the Reporting Application will be refreshed from the Planning Applications at that time. Other scenario-versions in Reporting will be reflective of the Planning Applications at the end of the day on Thursday, April 21th, until Tuesday morning.
      3. User Defined Fact (UDF) files and Employee/Position dimension files that were expected to be processed Friday night will be processed Monday night.
      4. New/modified chart of account values that were expected on Saturday will be in HUBS on Tuesday morning.
      5. The overnight data extract files that are generated by HUBS will be as of the end of the day on Thursday, April 21, until Tuesday morning when they will be as of the end of the day on Monday.

      7.
