New Hires and Quick Hire Forms - Updates to how HUIDs are generated

Beginning with Release 48, PeopleSoft will integrate with IAM’s Identity API for HUID provisioning to find existing and create new HUIDs. Similar to the legacy ID-matching functionality (IDGen), PeopleSoft users will continue to search for existing HUIDs by ‘essential person info’ including last name (LN), first name (FN), date of birth (DOB), and Social Security number (SSN).

The majority of the changes will be unnoticeable for PeopleSoft users. However, PeopleSoft users will notice the following changes:

  • Upon submission of a new hire (via a Quick Hire form, Add a Person, or the Aspire New Hire feed) a call will be made from PeopleSoft to the FindPerson service. The FN, LN, DOB and last 4 digits of the SSN will be searched within IAM’s data sources to find exact or partial matches.
  • If possible HUID matches are found, the match results will be listed and include a corresponding Match Score in numerical order. Users will be able to select an existing HUID or create a new HUID if needed.
  • An exact match will appear if all essential person info matches between PeopleSoft and IAM (i.e. FN, LN, DOB, and last 4 of SSN).

Benefits of this change from the legacy IdGen interface to the Identity API are:

  • Greater security as PeopleSoft will only be sending and searching with the last 4 of SSN.
  • More accurate results, with a match score for each partial match received.

All Quick Hire Form job aids on the Harvard Training Portal have been updated accordingly with details on these changes and how to use the match score.
