PeopleSoft HR Winter Release: Enhancements, Outage Information

Outage Information

PeopleSoft and all external system transmissions to PeopleSoft will be unavailable starting on Friday, December 4 at 5:00 p.m. until Monday, December 7 at 8:00 a.m. (at the latest) due to the 2020 winter release.

Users will see changes in the following areas on Monday, December 7:

Enhancements to Position pages

Several enhancements are being made on position pages to improve your experience in managing positions. Changes include adding job descriptions to positions, expanding the position data upload, and adding approval history.

All related job aids will be updated by the time the changes are in PeopleSoft. Please visit the Position Tracking and Reporting page on the Harvard Training Portal to view latest job aids.

Position Form

  • A new Position Job Description step has been added to the position form, to allow preparers to capture the position’s job description. The step is optional. View of the position form in PeopleSoft
  • A new action reason of PJD – Job Description Update will be available if users wish to update the job description only.
  • The job description will default onto the position form based on job code, and some fields will be read-only if the job code has a description that is centrally maintained as part of the job framework project.
  • For staff and clerical positions, position job descriptions will be sent to Harvard Careers for the job posting. When the position number is entered on the req in Harvard Careers, the job description will default from what was sent from PeopleSoft for that position, and further edits can be made where applicable.
  • All existing positions will be automatically updated to include a job description if the position has a job code with a job description that is centrally maintained as part of the Job Framework Project.

Position Approvals

  • The following changes were made to make it easier to identify approval history of position changes:
    • On the View Position Requests tile, a new ‘Approval Source’ column has been added to identify the source of the approval.
    • A new ‘Position Approvals History’ page has been added to the Position History tile to identify who approved each position change and when. View of the position approvals history page in PeopleSoft
    • Reviewer and Approver comments will now display in position approval, denial and push back email notifications sent to the Preparer.

Position Data Extract/Upload

  • All fields available on the Position Form will now be on the extract/upload file, with the exception of four fields requiring formal approval (Max Headcount, Union Code, Standard Hours, Salary Admin Plan).
  • The Position Extract/Upload Inquiry Page will have two new tabs displaying the additional fields.
  • When changing a position’s job code using the Upload, the job description will automatically default to the new job code’s description if the job code description is maintained centrally as part of the Job Framework Project.
  • Restrictions/validations will apply to specific fields:
    • Comments will be required for each row on the upload file, in lieu of approvals.
    • Effective Status can be changed from Active to Inactive for vacant positions.  Reactivating an inactive position will not be allowed via the Upload as positions should be approved before being reactivated.
    • Seasonal Duration can only be a number greater than zero if Seasonal Indicator is Y; Term Duration can only be a number greater than zero if Term Position is Y.

Enhancements to Performance Management pages

Users will see changes in the following areas on Friday, November 20th:

The “Steps and Tasks” workcenter on the left-hand side of the performance document has been enhanced as follows:

  • The “Due Date” has been removed
  • The “Reviewers” step has been consolidated into one step, making it easier for Employees to select reviewers, and for Managers to submit reviewers and read reviews
  • For Managers, reviewer feedback can be viewed from the “Track and Read Reviews” link, as well as the “Feedback” tab on the Employee’s document
