PeopleSoft Updates & Reminders

June 10, 2021

Position Tracking & Reporting

A new Position Status of ‘Under Review’ has been added and can be updated via the Position Form and the Position Data Extract/Upload.

A status of Under Review is meant to be a temporary placeholder to identify those positions that require review before determining whether the position should remain active or inactive.

Please see the Position Tracking & Reporting Group in the Harvard Training Portal to access the Position Form or Extract/Upload job aids for further instructions.

PeopleSoft Annual Reminders – Term Appointment Processing, Annual Salary Increase Process, and the Costing Copy

PeopleSoft Term Appointment Processing:

To process the high volume of employee records with expected end-dates of June 30, 2021, the following adjustments will be made to the auto-term processing schedule:

  • June 30 end-dates will be processed during the day on Sunday, June 27. Any reappointments needed for this population should be processed before Sunday, June 28.

Reminder about the Annual Salary Increase Process & Costing Copy:

We are coming up on the annual salary increase for Administrative Professionals, effective, July 1, 2021. The ASIP upload deadline is June 24 at 5:00 PM and the process is the same as previous years.  The updated work instructions and salary increase template are available in the Harvard Training Portal:

The Costing Copy is the annual process that copies current and future department, position and appointment level costing data and adds it to the new fiscal year. This year’s process will be running on the morning of Wednesday, June 30, 2021, inserting new FY22 costing in PeopleSoft.

  • Several enhancements were made this past year so that costing changes effective 7/1/2021 or later can now be made at any time, via any data entry method.  You do not have to wait for the costing copy as in prior years.
  • Once the costing copy has been run, any costing change with an effective date prior to 7/1/2021 must be entered for both FY21 and FY22.  By running the costing copy process on June 30, the necessity of dual data entry should be greatly reduced.

Absence Balance Page

Great news! We are bringing back balances in days.

  • Balances will be displayed in hours and days. The days will be based on the employee’s scheduled hours.
  • Forecasting can be done from the Absence Balance Page as well as the Request Page.
