Position Costing Went Live on May 11!

On Monday, May 11th, new functionality was released in PeopleSoft to require position level costing on all positions. A complete listing of all changes may be found in the summary document. Some of the key features include:

  1. All employees currently in a position had position level costing created as part of the PeopleSoft release and their appointment level costing was inactivated.
  2. Position costing is required on all newly created positions.
  3. A new costing page is available in PeopleSoft to maintain appointment and position costing. This may also be used to enter FY21 costing changes prior to the costing copy process on June 14th.
  4. Quick Hire and Job Data Changes forms have been modified to disallow the entry of costing for incumbents in a position. These should be done using the new costing pages. 
  5. The costing extract/upload template has been modified to allow for position costing. If you use this functionality be sure to download the new template on the PTR Harvard Training Portal page as the old template will no longer work. 
  6. HUBS (Harvard University Budgeting System) will now receive costing on vacant positions (currently estimated to flow into production starting on Monday 5/18). After costing is received into HUBS, employee reports found in the PTR folder will begin to show vacant positions if run for FY20 Actual-Final.

Payroll Costing Redistribution Phase Cancelled

The Information Technology Capital Review Board (ITCRB) has been reviewing all of their projects to understand best use of fiscal resources at this time. Some projects will remain unchanged, others will stop in June and a few will be scaled down. The ITCRB has decided to scale down the PTR project by canceling the payroll costing redistribution portion. This phase was only in the early stages of design and no implementation had begun.

The project will complete the Position Tracking and Reporting portion and will focus on four key areas:

  1. Position Enhancements in HR Systems – Complete the May 11 go-live and deliver high priority enhancements in September. Begin shifting this work to operational activity by December.
  2. HUBS Cutover and Enhancements – Complete the HUBS cutover by June. Begin shifting this work to operational activity to deliver high priority HUBS enhancements.
  3. Position Reporting for HR & Finance  –  Deliver new reports as scheduled and continue to engage users to ensure high priority enhancements are completed.
  4. Oracle GL enhancements  –  Evaluate feasibility of modifying Oracle Financials to strengthen reporting capabilities (e.g. capture position number and period of work performed on salary journals).
