Position Tracking Goes Live October 5-6

Position Tracking will go live over the weekend of October 5-6th.

During this time, position numbers will be created in PeopleSoft for all staff, including union positions. Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time. A complete listing of required employee classes by school / unit may be found on our Wiki site.

In order to support the position tracking roll-out, the following system outages will occur:

  • PeopleSoft & Aurora: Will be unavailable beginning Friday, October 4th @ 5:00pm until Monday October 7th @ 8:00am (at the latest). This includes all external system transmissions to PeopleSoft
  • Wasabi: The system will be unavailable from Thursday, October 3rd @ noon through Monday, October 7th @ noon
  • Harvard Careers: Friday, October 4th @ 8:00am – Monday October 7th @ 8:00am – users will not be able to create a new requisition, edit an existing requisition or process a hire. Candidates may still apply for openings and recruiters may review resumes during this window

Beginning Monday, October 7th, an approved PeopleSoft position number will be required to recruit in Harvard Careers or hire staff and any other locally required groups. New functionality in October across the different systems include:

  • PeopleSoft – new common position form and approval process for 300 HR and Finance administrators across Harvard
  • Harvard Careers – position numbers and attributes fed to Harvard Careers
  • Workforce Analytics Qlik – new applications available to support position tracking and some existing applications modified to include positions. For new features including a listing of open requisitions in Harvard Careers see the monthly newsletter here.
  • HUBS – Positions created and updated in People Soft will flow into HUBS Planning and Reporting after two (2) business days; People Soft data elements such as Annual Salary, FTE, and Dist Pct (Distribution Percent), Budget Start Date, Budget End Date, and Max Head Count will also flow into Planning and Reporting after two (2) business days; Detail Payroll Actuals posted to the GL will be available in Reporting on the following day similar to GL Chart values. They will be available in Planning two (2) business days after the Month end GL close, similar to summary details that was fed to CINA.
  • HART – Position number added to transaction listing dashboard Local Systems – PeopleSoft position numbers will be added to some local systems (Aurora and Wasabi)
  • Aurora – PeopleSoft position numbers will be added and will be mapped to legacy position numbers to preserve position history. Business processes for staff reclassifications and some job data changes will be modified based on new PeopleSoft rules
  • Wasabi – PeopleSoft position numbers will be added for all existing Staff (A&S) and Academic (F,J&O) jobs. Business processes for Hire and Data Change actions have been modified based on new PeopleSoft rules
