Reminder about the Annual Salary Increase Process & Costing Copy

May 16, 2019

Annual Salary Increase
We are coming up on the annual salary increase for Administrative Professionals, effective, July 1, 2019. The ASIP upload deadline is June 26th at 5:00 p.m.

The process is the same as last year. The updated work instructions and salary increase template are available in the Harvard Training Portal:

The new salary ranges have been added to PeopleSoft. For administrators who have access, the updated salary ranges can be viewed there at Navigator > Set Up HCM > Product Related > Compensation > Base Compensation > Salary Grades.

Costing Copy

This year's costing copy process will run on Sunday, June 16th to insert the new FY 2020 costing rows. The FY 2020 costing rows will be inserted with a 07/01/2019 effective date.

For tubs/units, this means that prior to 06/16/2019, no costing changes effective dated 07/01/2019 or later, can be submitted. These will need to wait until 06/17/2019.

For costing changes effective dated between 06/16/2019 and 06/30/2019 that are entered after the Costing Copy is complete:

  • Any changes to an employee's costing submitted between June 16th and June 30th will need to be entered on both the employee's FY 2019 and FY2020 costing row. Make sure to choose the Override Future Costing radio button in the Job Data Change form to ensure the FY 2020 row is updated. If you fail to update the employee's FY 2020 costing it will reflect what was copied on June 16th.

Term Appointments
Review term employees with appointment end-dates during the coming month to avoid unnecessary terms. Use the PeopleSoft Term Appointment Extract (Harvard Processes > Extracts/Uploads > Term Appointment Extract) or use the University Workforce Application in QlikView (in the report, select the Compliance category, and then select Term Appointments from the menu).

Please note that the 6/30/19 auto term process will pick up thousands of employees with an appointment end date of 6/30/2019. This year, the 6/30 auto term process will start early, on the morning of Saturday, 6/29/19. Please make sure you process any re-appointments BEFORE the end of day on Friday, 6/28/19.
