PeopleSoft HR Fall Release: Enhancements, Outage Information, & Open Enrollment Dates

PeopleSoft and all external system transmissions to PeopleSoft will be unavailable starting on Friday, September 20th at 5:00 p.m. until Monday, September 23rd at 8:00 a.m. (at the latest) due to the 2019 fall release.

Position Tracking Goes Live October 5-6

Position Tracking will go live over the weekend of October 5-6th.

During this time, position numbers will be created in PeopleSoft for all staff, including union positions. Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time. Position Tracking and Reporting Project Update

The Position Tracking and Reporting project successfully rolled out to the Harvard Divinity School on July 14th.  All Divinity School staff, faculty and several other groups of HDS employees now have a position number in PeopleSoft.

Over the weekend of October 5-6, 2019 this functionality will be rolled out to the remainder of the University for all staff and union positions.  Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time.  After the roll-out of position tracking, an approved position number will be required to recruit in Harvard Careers or hire staff, union and any other locally required groups in PeopleSoft.  New functionality in October across the different systems include:

  • PeopleSoft – new common position form and approval process.  A preview of functionality may be seen here
  • Harvard Careers – position numbers and attributes fed to Harvard Careers.  A preview of changes may be seen here
  • Workforce Analytics Qlik – new applications available to support position tracking and some existing applications modified to include positions  
  • HUBS – A few changes to HUBS (Harvard University Budgeting System) are also planned for September and October to support position tracking. These changes may or may not be incorporated into your local FY21 budget process.
  • September – new roll-up members will be added to the Position and Employee dimensions to support position tracking and reporting
  • October – PeopleSoft position numbers and data elements to support budgeting will be fed to HUBS; GL payroll actuals will be fed to the employee cube with position and employee detail

Position Tracking and Reporting Remains on Track for July and October 2019 Roll-Outs

The first roll-out of the Position Tracking and Reporting project will happen this week!  On July 14th, we will launch our beta release with the Harvard Divinity School (HDS).  At that time, position numbers will be required for all staff, faculty and several other groups of HDS employees.

Over the weekend of October 5-6, 2019 this functionality will be rolled out to the remainder of the University for all staff and union positions.  Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time. Faculty position numbers will be required by April 2020.

Users of the PeopleSoft Job Data Change Form (JDCF) will notice that the Position NBR field is now highlighted in yellow when certain action/reason codes are used with an effective date (New Effdt) of 7/1/19 or later. Though a yellow highlight indicates that the field is recommended, please note the Position NBR field should only be used once your school/unit has gone live with Position Tracking and Reporting (July 14, 2019 for Harvard Divinity School and October 2019 for all other schools/units).  A separate communication on this change was sent to all JDCF users.

Over Fiscal 2020, new functionality will be rolled out across many of our different IT systems including Harvard Careers, QlikView, HUBS, HART and more.  A few highlights include:

  • PeopleSoft – new common position form and approval process (October 2019); Costing required on position (April/May 2020)
  • Harvard Careers – position numbers and attributes fed to Harvard Careers (October 2019); job descriptions fed to Harvard Careers (April/May 2020)
  • Workforce Analytics Qlik – new applications available (July - September 2019) and some existing applications modified to include positions (July 2019 and on-going)
  • HUBS – Position numbers and some attributes fed from PeopleSoft; GL actuals loaded by position and employee; modified reporting (October 2019)
  • HART – Position number added to transaction listing dashboard (July 2019)
  • Local Systems – PeopleSoft position numbers will be added to some local systems (Aurora and Wasabi), your local implementation manager can provide details of changes

Position Tracking and Reporting on Track for July 2019 and Oct 2019 Go-Lives

Back in April, we shared information in eNews about the Position Tracking and Reporting project.  The project remains on track to deliver new functionality in PeopleSoft and Harvard Careers for:

  • July 2019 - Beta release at the Harvard Divinity School only
  • October 2019 - All schools and units will be live with position numbers for staff and union positions. Some schools will elect an early adoption of faculty position numbers and may include other classes (ex. Post Docs, Temps etc.) at this time. Faculty position numbers will be required by April 2020.

This month, in preparation for our go-live, we had over 75 individuals across all major schools and units participate in user acceptance testing.  Participants were represented from:

Position Tracking and Report Project Scheduled to Go-Live in October 2019

What is the Position Tracking and Reporting Project?

The Position Tracking and Reporting project is focused on solving a need expressed by both the Human Resource (HR) and Finance communities throughout the University, which is to be able to obtain meaningful information regarding the University's workforce today and over time.

The project will establish a University-wide approach to track positions in our HR and Financial systems. It will also enable administrators to conduct analysis in a much more seamless and consistent manner by tying the data across our many systems together.

How Will this Project Impact Me?

The level of impact will vary by school/unit as some organizations have local systems (Aurora, Wasabi, HireTouch etc..) that will capture this information.  You should check with your local implementation manager to fully understand what this means at your school/unit.  

What will be common is the introduction of a position number value in many of our core information systems and reporting tools (PeopleSoft, Harvard Careers, HUBS, QlikView, Oracle/HART and several others). In addition, new staff positions and changes to existing staff positions (reclassifications, reorgs) will require a local HR and Finance approval in PeopleSoft or approval in a local integrated system (Aurora, Wasabi). For example, this means that staff and union positions will not be able to be posted in Harvard Careers before they are formally approved in PeopleSoft, Aurora or Wasabi. ...
