FINDINI 4.0.15 Release - Upcoming April System Outages for Oracle Financials Systems

The Spring 2019 FINDINI 4.0.15 release will be available to users on Monday April 29, 2019. Please continue to review updated release messages and outage information that will be posted in the March & April e-News articles, on the Oracle Financial splash pages, and on our site: http://oracle.fss.finance.harvard.edu/releases.

Outages

The University's financial systems will be unavailable from Friday, April 26 at 6:00 p.m. until Monday, April 29 at 7:00 a.m. to complete the installation of this release. The Oracle EBS Financial systems that will be offline during this time include:

  • Accounts Payable
  • Accounts Payable Adjustment Form for Assets
  • Accounts Receivable
  • iReceivables & Collections
  • Bottomline
  • CAPS
  • Cash Management (CMRA)
  • Chart Security Maintenance Application (CSMA)
  • Chart of Accounts GL Validator
  • FedEx
  • General Ledger
  • Oracle Assets
  • HCOM & iProcurement
  • PCard
  • Vendor Request
  • Web ADI
  • Web Reimbursement

CPATH (Capital Planning at Harvard), DMS Financial Data Warehouse, & HART reporting will also be offline during this same outage window. CPATH & DMS Financial Data Warehouse are also having a release during this weekend.

New Policy for Non-exempt Temps and LHTs

February 14, 2019

The new policy changes for Non-exempt Temps and LHTs will go into effect on 3/4/19. Temps may continue to work a 13-week assignment, or up to 26 weeks if covering for an employee on an approved leave with a right to reinstatement.

However, LHTs will only be allowed to work a maximum of 14 hours per week, down from the less than 17.5 hours previously allowed. Although PeopleSoft will continue to allow you to hire a LHT at less than 17.5 hours per week, they may not work more than 14 hours per week. The system will be updated in Release 53 in May to reflect this change. If a LHT works more than 14 hours per week beginning 3/4/19, this will be a violation of the policy.

Harvard Retirees and current Harvard Students continue to be excluded from the limitations on Temp assignment length and may continue to work less than 17.5 hours as a LHT.

Harvard Analytics and Reporting Tool (HART) Update

Harvard Analytics and Reporting Tool (HART) relates to the OBI environment that contains the non-student Accounts Receivables, CAPS, Cash Management, Chart of Accounts, CSMA, Financials, Grants Management, Procure to Pay, Travel & Expense, and User Security folders.

HART “By the Numbers” for January 2019

  •  99.5:       % of queries that completed in 1 minute or under
  • 0.1 :         % of queries that completed in over 5 minutes
  • 1,473:      # of distinct users in HART for ALL subject areas
  • 187,894:  # of distinct requests made in ALL subject areas

Monthly HART Release

The next monthly HART OBI release will begin on Thursday, February 28th at 6 p.m. All changes will be implemented, and the release completed, by 9 a.m. on Friday, March 1st.

Service Unavailable Error Message Update

Data Management Services (DMS) is pleased to announce dramatic reductions have been achieved in the HART Service Unavailable error messages. ​ DMS implemented tools to explore the system logs and zero in on the pertinent information to isolate the root cause.  These tools have enabled us to track when the errors are occurring, and which components of the architecture are problematic.   DMS identified where the issue was and implemented configuration changes to help address the issue just before the winter break.

PCard Settlement System Update

February 14, 2019

We continue to experience issues related to uploading files from Citi to the PCard Settlement system. Citi changed their file format on January 26 and the last valid file we have received in our system was on January 28.

 

This issue has been escalated within Citi and we expect to have it resolved soon.

 

You will notice the sweep for February 21 is not present in the settlement system. This is because transactions for the week of Jan 28 would have been in that sweep. Since there are no transactions, no sweep is present.

 

We will let you know as soon as this issue has been resolved.

Updates to the Independent Contractor Policy - Sneak Peek

February 14, 2019

Get a preview of the revised Independent Contractor Policy effective April 1, 2019. The updated version has stream-lined the questionnaire and provides guidance and clarification on when and how to classify an individual as an employee or independent contractor.

Expanded training materials have also been created to help hiring departments, Human Resources and Finance Offices determine specific roles and responsibilities.

An overview of the revised policy will be held by the Financial Policy Office and Office of Labor and Employee Relations on Thursday, February 28 from 11:00-12:00 in the Lamont Library Forum Room with additional trainings held throughout March.
