Upcoming December System Outages for Oracle Financials Systems - FINDINI 4.0.12 Release

This FALL 2017 FINDINI 4.0.12 release will be available to users on Monday December 18, 2017.

Short Summary:

The main focus of this release is to upgrade the Oracle Financials Database from version 11.2.0.4 to 12.1.0.2. This will ensure our database version is supported by Oracle for several years to come. We will also be patching the entire application suite with the latest Oracle EBS 12.1.3 RPC5 (Rollup Patch Collection Set 5) functional application patches. This RPC5 will bring our EBS application to the most current bug-free state of functionality available in version 12.1.3. Not only will we get fixes to some existing bugs, but we will also get some new functionality that we can look into using to improve our business processes. PeopleSoft Release 49: Outage Information

Due to HR Release 49.0, PeopleSoft and ASPIRE transmissions to PeopleSoft will be unavailable starting on Friday, December 1st at 5:00pm until Monday, December 4th at 8:00am.

Attachment functionality for Quick Hire and Job Data Change Forms

Beginning with Release 49, PeopleSoft Quick Hire and Job Data Change Form users will now be able to add attachments to any open form. Any user who has access to a form can view the attachment(s), but only users who can edit the form will be able to add or delete attachments. Once the form is submitted to the database, attachments cannot be added or deleted. Please view the job aids available in the Harvard Training Portal for further information and instructions.

Holiday Worked Time Reporting Scenarios

Extra hours for a holiday worked are not paid automatically. If an employee works on a holiday, they should report HWK to be paid at a rate of 1.5 times their normal pay for the holiday hours worked. The employee is also entitled to their regular pay for the holiday (FHP), or they may bank the time (FHE) and take time off at a later date (up to 1/5 of the employee weekly scheduled hours).

To receive it as pay:

  • The employee should report HOL for all hours not worked and HWK & FHP for all hours worked.

To receive as time off:

  • The employee should report HWK to receive pay for the hours worked and FHE to bank the time off. At a later date, when the time is taken, they should report FHT with a comment that is time owed for working on the holiday. This time must be used prior to the end of the fiscal year (6/30).... Modernization of Financial Reporting (MFR) Project Update

MFR “By the Numbers” – October 2017

  • 1,098: Number of distinct users that ran financial dashboards in OBI (~300 more than September!)
  • 64,939: Number of distinct requests made using the financial dashboards, over a third of which were made of the “Transaction Listing All” dashboard (24,931 requests).
  • 79: Number of individuals registered for the Introduction to OBI Financial Dashboard training
  • 1,204: Number of users who have completed training
  • 62%: Percentage of target audience who is trained on OBI.  If you are one of the other 38%, register for OBI training today!

CREW Decommissioning Deadline: December 15

The Modernization of Financial Reporting (MFR) Project Team has been working diligently with business leadership in the schools (specifically, the Financial Deans), its partners within the Data Management Services team and HUIT to improve the quality of the OBIEE (OBI) dashboards.  After almost 18 years in service to the Harvard community, CREW will be decommissioned on December 15 of this year.  At that time, all access to CREW will discontinue and users will need to access other systems for work they have been doing in CREW.

Until December 15, financial reports will be available in both CREW and OBI.  As of the morning of December 15, OBI will serve as the sole source for financial reporting and users will be unable to logon and retrieve any previously run reports in CREW.

Please note that there will be no changes to the desktop version of Interactive Reporting (also known as BRIO or Hyperion Interactive Reporting Studio) at this time.  Users of IR/BRIO will be still be able to use the desktop version for their ad hoc reporting needs.... Overnight Processes for this Friday, November 17, Rescheduled

Due to a release for Harvard’s Data Warehouse (HDW) this weekend, the overnight processes in HUBS have been rescheduled from Friday night, November 17, to Sunday night, November 19. The overnight processes in HUBS include tasks to add new chart of account values, new employees, and more. HUBS Outage Saturday, December 9

System to System (S2S) is Getting Retired - January 2018

You may have heard the news that S2S functionality in GMAS is going away. It’s true. As of January 25, 2018, GMAS will no longer support the system-to-system submission of proposals to Grants.gov. We wanted to provide a little background and information about the decision.

Background:

  • GMAS has supported direct system-to-system (S2S) submissions to Grants.gov since 2007.
  • The main goals of the original S2S project were to reduce duplicate entry and provide an easier entry and review interface (in 2007 Grants.gov used the PureEdge forms, which were especially tedious).
  • Every 2-3 years, new form versions are released. We also have to stay current with Grants.gov infrastructure and technology. Over the past 8 years, about 15-20% of effort in all GMAS releases has been dedicated to S2S support.
  • For help desk, we estimate that 30-35% of our support requests are related to S2S.

New Go Live Date for Automatic Inactivation of Vendor Type Individual – Non U.S. Citizens and Vendor Lookup Screen Enhancement

The enhancement for vendor type “Individual – Non U.S. Citizen (1042S),” which will automatically inactivate vendors based upon their immigration documentation end date, has been delayed and is now scheduled to go live on 12/18/17.

After 12/18/17, these vendors will need to provide updated GLACIER forms and documentation in order to be reactivated.

The Vendor lookup screen will be modified to include a visa expiration date column. Additional materials may be found in the Harvard Training Portal after December 1st....
