Harvard Analytics and Reporting Tool (HART) Update

Harvard Analytics and Reporting Tool (HART), powered by OBI, includes the non-student Accounts Receivables, CAPS, Cash Management, Chart of Accounts, CSMA, Financials, Grants Management, Procure to Pay, Travel & Expense, and User Security folders.

HART by the Numbers

  • 2:                average query time to run in seconds
  • 99.3:           % of queries that completed in 1 minute or under

Monthly HART Release

The next monthly HART release will begin on Thursday, June 6th at 6 p.m.  All changes will be implemented, and the release completed, by 9 a.m. on Friday, June 7th.

The HART upgrade from version 11g to version 12c will occur over the weekend of May 17th – May 20th.  This change moves HART to AWS Cloud, which provides better security, availability, monitoring, and the ability to easily scale. ​ DMS is re-architecting HART to provide better stability for the system.  Version 12c also allows us to be on better supported software, with minimal impact to users. 

Key Information

  • The look, feel, and basic functionality of HART will remain the same.
  • Users will land on a homepage that proves system information and helpful tips.
  • Users will see a status page upon login between 8pm and 7 a.m. stating that the data is being refreshed.
  • Users will be able to copy cells from HART and then paste them into their favorite application, e.g., Excel, Word, etc.  Download the job aid with more details now!

Preparing for the Upgrade

  • To accommodate the building of the new environment, there will be a freeze in processing new user requests or changes to existing user requests from close of business Friday, May 10th until May 20th.
  • New URL: There will be a new URL to access after the upgrade.  If you have bookmarked/favorited the URL in your browser, you will need to change your bookmark and/or favorite after May 20th.  DMS will work with HUIT to update the FAD Applications webpage.
  • Customizations:  DMS migrated all customizations in place as of April 19th.  Please note that any customizations created after April 19th will not be migrated because DMS has been building the new production version.
  • Bookmarked Links:  If you have received a HART bookmark link from someone and re-use that link often, be aware that HART bookmark links not saved as customizations by Friday, April 19th will not work in HART after May 20th.

Quick Tip:  Using HART to Find the Names of Chart of Account Values

If you don’t know the name of a chart value such as fund, activity, root, etc., there are several ways to find it in HART:

  • If you know the number or at least part of the name, use the Chart Hierarchy or Chart of Accounts by Segments Dashboard.
  • If you don’t know the number but some of the name of the fund, activity, etc., use the Transaction Listing and search for the value using the drop-down menu.  Be sure to select Contains as your search parameter.
  • If you wish to view the name of a value from a set of search results on a Transaction Listing dashboard, export the results using the link beneath the search results. Select Data>CSV Format as your export type.  This will export all columns on the dashboard, and you will be able to see both the numeric value as well as the name of the chart value.  Important Note: This will NOT work with any of the Transaction Listing Lite dashboards, as most of the chart description columns are not included.
