PeopleSoft Upcoming Outage:
PeopleSoft and all external system transmissions from/to PeopleSoft will be unavailable starting on Friday, May 20 at 5:00 p.m. until Monday, May 23 at 8:00 a.m. (at the latest) due to the 2022 Spring release. This release includes our annual PeopleSoft upgrade.
Beginning on Monday, May 23, users will see the following key changes:
New Look & Feel
- New color scheme
- Favorites and Recently Visited pages can easily be accessed via icons on the left-hand side of the screen
- Navigation Bar has breadcrumbs and can be sorted alphabetically

Enhanced search bar with modernized features such as:
- Instant search results as you type
- Recently visited pages ranked in real-time and appearing at the top of your search
- No waiting for the search page to load - just make your selection right in the drop-down menu
Longer Service Milestone notifications will now use the employee’s preferred name
If an employee has added their preferred name to PeopleSoft, then that name will appear on their milestone awards (and not their legal name). The text on the Employee Self Service Names page has been updated to note this change so that employees are aware how their preferred name is shared.

New Retroactive and Historical Salary Increase Process Available
To support retroactive salary increases where historical data must be updated, a new Retro Salary Increase extract and upload process has been created. The process is available to anyone with access to the standard Salary Increase pages. The current Salary Increase Template can be used, but there are key differences in the extract data and how the updates get processed. The process should only be used if you need to update historical ‘middle of stack’ compensation data in bulk.
The standard Salary Increase Process should continue to be used to update current ‘top of stack’ compensation data, or the Job Data Change Form should be used to process a small number of changes.

New! Self Service Page - Employee Initiated Life Events
The new ‘Life Events’ tile (My Self Service tile > My Benefits > Life Events) allows benefit eligible employees to complete the benefit life event process online via self-service, without having to call the Benefits Office. This is initially rolled out for marriage, domestic partnership, birth, and adoption life events.
After clicking on the new ‘Life Events’ tile under My Self Service/My Benefits, the employee is brought to a page where they enter the life event type and date. After hitting the button for ‘Start Life Event’ the employee is brought to an activity guide similar to Onboarding and Open Enrollment. Here the employee can create a new dependent, upload the required dependent documentation, and enter and submit their benefit election changes all online.

- Improvement for those who are using screen readers! The screen reader will read the name of the requestor, request dates, request hours and current balance.
Automatic Adjustment for Sick Balance Upon Termination

For terminated employees who received vacation payout, the system will automatically reduce the employees’ sick balance to 24 days. Only non-union and HUCTW terminated EEs will have their balance adjusted. The MA Sick balance will not be adjusted, as LHT employee do not receive vacation payout.
- Balance adjustment hours = sick balance – 24 days * Scheduled hours per Day
- Scheduled hours per day = Standard hours as of termination / 5
New system generated Comment for Longer Service Vacation Adjustments
- The Longer Service Vacation process will insert a new comment of 'LSV Adjustment -- System Generated', the comment can be viewed on the Assign Entitlements and Takes page. This will help differentiate updates made by system processes and administrators.
Balance Adjustment Report (HUPTO030) updated to display comments
- The Balance Adjustment Report (HUPTO030) has been updated to display all comments.
Vacation Accrued vs Taken Report (HUPTO025) - New Max Vacation field
- The Vacation Accrued vs Taken Report has been modified to include a new field displaying the employee’s Max Vacation hours.
Updating Employee Direct Deposit Information
For added security, a process will be run during the release weekend that will mask and encrypt bank account numbers stored in the database.
- There is no change to the Direct Deposit page in Self Service. Bank account numbers will continue to be displayed as masked.
- There is a small change for central administrative users with update access to the Request Direct Deposit page. To make a change to employee direct deposit bank account numbers, you will click on a new Edit Account Number checkbox to open the Account Number field for data entry.
New Kibana Analytics Dashboards for Absence Events & Time Reporting
The Absence Events and Time Reporting Insights tiles enable Absence and Time & Labor administrators to view and export absence and time reporting data through visual reports and queries.
Both tiles are available through the Workforce Insight tile (Workforce Administrator home page > Workforce Insight). Users with access can create and save filters for specific absence event data, populations, date ranges, etc. Underlying details can be viewed on the page or downloaded in .csv format for easy import into Microsoft Excel.
