PeopleSoft HR Winter Release: Upcoming Outage & Enhancements

This article includes information about the upcoming PeopleSoft system outage and the latest PeopleSoft enhancements.

PeopleSoft Upcoming Outage

PeopleSoft and all external system transmissions from/to PeopleSoft will be unavailable starting on Friday, December 8 at 5:00 p.m. until Monday, December 11 at 8:00 a.m. (at the latest) due to the PeopleSoft Winter 2023 Release.

Beginning on Monday, December 11, users will see the following key changes:

My Job Information and Compensation History Pages

Starting on Monday, December 11, all employees will have access to a new “My Job Information” tile under the My Self Service menu. Employees will be able to view and verify various job information details such as employee ID, business title, manager/supervisor, department, and union. Before this change, job information was not readily available to employees and was not centrally located in one place in PeopleSoft. Employees can work with their local HR office if any information displayed is not correct, improving data accuracy and integrity. The Compensation History page under the My Self Service > My Pay menu has been updated with a new look and feel, displaying information in a more user-friendly format. Employees will be able to view their compensation information and use a variety of filter options such as salary frequency, time periods, actions, and job titles.

Absence Management

The allowable maximum negative sick time policy has been updated and will be limited to two weeks (70 hours) for all employees enrolled in absence management, starting Sunday, December 10, 2023.  This is in alignment with the allowable maximum negative vacation time policy, which is also limited to 2 weeks.  For example, an employee working 35 hours schedule is allowed to have a maximum negative 70 hours of sick time.  Any sick time requested beyond negative 70 hours will be charged to time at your own expense.

Clear I-9 Process Improvements

Good news! Starting on Monday, December 11th, the Clear I-9 process has been improved to no longer clear the I9 values for rehired employees who recently completed their I9.

The process will clear the I9 under the following conditions (subject to change as laws update):

  • If all jobs for an employee have been terminated more than 365 days.
  • Employees who only have unpaid active positions will clear after 30 days.

The process will NOT clear the I9 for:

  • Future dated hires for terminated employees up to 90 days.
  • Future dated transfers from unpaid paygroups to a paid one up to 90 days.
  • Employees on LTD or Workers' Compensation.
