General Updates

July 1, 2020 PAY/NOC Processing

  • If processing July 1, 2020 PAY/NOC (Pay Rate/No Change) rows, make sure any PeopleSoft actions with June effective dates are processed first.
  • The Salary Increase Template can be used to process PAY/NOC rows. Please see the related job aid for details.

PeopleSoft Term Appointment Processing

To process the high volume of employee records with expected end-dates of June 30, 2020, the following adjustment will be made to the auto-term processing schedule: June 30 end-dates will be processed during the day on Sunday, June 28. Any reappointments needed for this population should be processed before Sunday, June 28.

Costing Copy

  • This year's costing copy process will run on Sunday, June 14, inserting new FY21 costing rows with a 7/1/20 effective date.
  • New: For position level costing, changes effective 7/1/20 or later can be submitted at any time. You do not have to wait for the costing copy.
  • New: For appointment level costing, if you're using the new Manage Costing tile or the costing extract/upload, changes effective 7/1/20 or later can be submitted at any time. You no longer need to wait for the costing copy.
  • If you're using the Quick Hire or JDCF, appointment costing changes effective 7/1/20 or later must be submitted after the costing copy, as in prior years.
  • All costing changes effective prior to 7/1/20 that are entered after the Costing Copy must be entered for both FY20 and FY21.

PeopleSoft Position Form Enhancements

The following enhancements will improve data entry and support HR reporting and analytics:

  • The Status field will default to “Inactive” for action reason “Inactivate Position,” and to “Active” for action reason “Re-activate Position.”
  • The Job Code field will only be editable for the following action reasons: Administrative, Reclass Downgrade, Reclass Lateral, Reclass Upgrade, Reorg with Reclass Downgrade, Reorg with Reclass Lateral, Reorg with Reclass Upgrade.
  • The Department field will only be editable for the following action reasons: Administrative, Reorg without Reclass, Reorg with Reclass Downgrade, Reorg with Reclass Lateral, Reorg with Reclass Upgrade.

New Employee Self Service Form to Update State Tax Withholding for Massachusetts in PeopleSoft

With the advent of the new W4 form for Federal Tax Withholding, we had to remove our customization to allow employees to apply their federal withholding to Massachusetts.  To avoid having to continue to do paper forms, a new custom page for tax withholding for MA will be available on Friday, June 26th.

The new page will be located under Self Service > My Pay > M-4 Information when using the tiles:

Using the navigator, it will be located under Self Service > Payroll and Compensation > M-4 Tax Information:

The page will display the employee’s current withholding when first accessed.  Changes will be updated immediately upon submission.  There will be links that will bring the employee to the full MA form with instructions, as well as a link to the Office of the Controller website containing information on MA taxes.  In addition, we will be providing a job aid that can be accessed through the help link in the upper corner.

NOTE: All other states in which we do business (CA, MD, IL, DC) will continue to use paper forms submitted to their local HR/payroll departments.
