Ad Hoc Reporting Project Update

The Ad Hoc Reporting Project (ARP)’s mission is to implement a modernized ad-hoc reporting software solution (Tableau) and support the migration from Brio to the new platform. Our number one guiding principle for this project is to advance HUIT’s vision of empowering the Harvard community through technology that enables effortless access to data, information and knowledge. 

Currently, DMS is actively working to:

  • Provide monthly informational sessions for the Brio / IR users called Tableau Days, in cooperation and coordination with Tableau
  • Engage with Local Implementation Managers (LIMs) on a monthly basis to begin the BRIO conversion and Tableau implementation process
  • Collate the results of a BRIO/IR User Survey to help determine the number and complexity of .bqys to be converted to Tableau
  • Construct a sandbox environment of our Tableau platform, Tableau Server

Latest from the Project

  • Many thanks to our Local Implementation Managers who provided us with an updated list of their BRIO/IR/Ad Hoc Reporting users!  This information was critical to define the audience and overall scope of the project.
  • On September 4th, current BRIO/IR users received a BRIO/IR User Survey.  The survey questions focused on BRIO use, number of queries, the complexity of the queries and when users believe they will be able to provide an inventory of their queries and overall readiness to engage with the project.  The survey deadline was September 12, 2019.  Responses are now being collated and shared with the LIMs.  Next steps will be reviewing results with each LIM and creating the BRIO query inventory.
  • The monthly LIM meeting was held on Thursday, 12th.  These meetings will continue throughout the project implementation period.  For information on who in your school/unit is serving as a LIM, visit the ARP wiki site.

Tableau Server Update

The DMS team has begun work on a sandbox environment to prototype our Tableau Server platform.  Our developers are working with Tableau experts to define and build the environment.  We are also working to ensure that the environment is secure and can be accessible via Harvardkey.  The platform will provide a stable, secure environment for all those who work with administrative ad hoc reports.

August Tableau Day

Although held on Thursday before a holiday weekend, we had a terrific turnout for the August Tableau day on Thursday, August 29th!  Jeremy Weatherall from Tableau demonstrated several ways to use filters in Tableau.  This information provides those converting their BRIO queries to Tableau with several options including a straightforward conversion or redesigning the query for more efficiency!

September Tableau Day

The next Tableau Day will take place on Thursday, September 26, 2019, starting at 11 am in the Summit Room 416 at 784 Memorial Drive, Cambridge.  The session will run until 1:30 pm.  Following the session, the Tableau Doctor session, which provides 1:1 help with your Tableau questions and issues, will begin and run until 3 pm.
