PeopleSoft HR Spring Release: Enhancements and Outage Information

PeopleSoft HR and all external system transmissions to PeopleSoft will be unavailable starting Friday, May 11th at 5:00 p.m. until Monday, May 14th at 8:00 a.m. (at the latest) due to the 2018 spring release.

Users will see the following changes on Monday, May 14th.

We are excited to announce that Absence requests and approvals will be mobile friendly!

Also, employees will now be able to initiate cancelation of absence requests on their own! The new pages are easy to use and we hope this will be a significant improvement for our user experience.

Correction: In the last eNews we asked that all managers approve all requests prior to Friday, May 12thGOOD NEWS!  This is no longer needed.  All submitted absences prior to Friday, May 12th will appear on the new approval tile.

The following Absence pages will have a new look and feel as we move to a more fluid, mobile friendly environment:

  • Absence Request
  • Absence Balances
  • Forecasting results
  • View Requests

A New Cancel Absences page!

  • Employees can now cancel a submitted absence request.  If the absence has already been approved, the cancellation request will be submitted for approval via workflow.

New Approvals Tile for Manager!

  • All absence requests and requests to cancel can be easily accessed through this new tile.

Annual Salary Increase Process & Costing Copy

Annual Salary Increase

We are coming up on the Salary Increase for Administrative Professionals on July 1st. CWD is offering a class for those processors who have never performed the annual salary increase extract and upload in PeopleSoft or those users who need a quick refresher - the process is the same as last year.

Just a few reminders about this process:

Costing Copy

This year's costing copy process will run on Sunday, June 17th to insert the new FY 2019 costing rows. The FY 2019 costing rows will be inserted with a 07/01/2018 effective date. 

For tubs/units, this means:

Existing Employees: Any changes to an employee's costing occurring between June 17th and June 30th will need to be entered on both the employee's FY 2018 and FY2019 costing row. Make sure to choose the Override Future Costing radio button in the Job Data Change form to ensure the FY 2019 row is updated. If you fail to update the employee's FY 2019 costing it will reflect what was copied on June 17th.

New hires, rehires and transfers being processed with an effective date between June 17th and June 30thYou will need to add their FY2019 costing as only the FY2018 row will be created via the hire process. Failing to add the FY2019 costing will result in the employee's costing getting charged to the department-level costing starting on 07/01/2018. To add the FY2019 row, you can:

  • Use the Costing Upload process - indicate FY2019 in the Excel spreadsheet
  • Use the Job Data Change form with an effective date of 07/01/2018

FINDINI 4.0.13 Release - Upcoming May System Outages for Oracle Financials Systems

This SPRING 2018 FINDINI 4.0.13 release will be available to users on Monday, May 21, 2018.

Short Summary:

The focus of this release is for the implementation of Java Web Start so Oracle Financial Form applications can continue to work with Firefox v60 (and greater) and other modern web browsers that are ending support for the Netscape Plug-in Application Programming Interface (NPAPI) which is required to open Oracle Forms. Several Oracle software patches are being applied to make Oracle Financials compatible with the new Microsoft Office 365 Pro Plus 2016 rollout. We are also rolling out 3 new key Fixed Asset reports needed for this year’s fiscal year end audit requirements. Several important CAPs enhancements will be implemented including an automation process for CIP funding journals which will increase the turnaround time for approvals and accuracy of journals.

Oracle Financials Outage - 6:00 p.m. on Friday, May 18th until 9:00 a.m. on Monday, May 21st to accommodate the installation of this release. CPATH (Capital Planning at Harvard), DMS Financial Data Warehouse, & OBI Reporting will also be offline during this outage window. CPATH & DMS Financial Data Warehouse are also having a release during this weekend.

HUBS Reminder: Release 3.11 Outage

HUBS will be unavailable starting on Friday, May 18th at  9 p.m.  through Sunday May 20th for the installation of Release 3.11. HUBS will be available again at the start of business on Monday, May 21st.

Please note that HUBS includes Smart View, MYFP, Interim Reporting and TEFA, and these applications will be unavailable during the release installation as well.

OBIEE Update

OBI "By the Numbers" for April 2018

  • 97.3%: Percentage of queries that completed in 1 minute or under
    • Additionally, the April release reduced the query run time from 11-12 seconds to 3-4 seconds!
  • 12: Number of distinct users of the Purchase Order Listing and Purchase Order Receipts Listing dashboards (for more info on these dashboards see below)
  • 1,420: Number of distinct users in OBI for ALL subject areas
  • 176,446: Number of distinct requests made in ALL subject areas, just under half of which were from the “Transaction Listing All” dashboard (76,260 requests)

May Monthly OBI Release

The next OBI release will begin on Thursday, May 24th at 6 p.m.  All changes will be implemented and the release complete by 9 a.m. on Friday, May 25th.  Keep an eye on the newly updated OBI 3 Month Release Plan and Backlog wiki page for details of the dashboard changes in this release.... Reminder Object Code 8267 - Parking^Other Services

Remember that object code 8267 – Parking^Other Services should be used when tracking payments of parking permits for on-campus, internally-owned Harvard parking garages.

Payments to parking lots that are not owned by Harvard (such as the Church Street Parking Lot, Harvard Square Hotel, University Place, etc.) and payments to parking meters on campus should be charged to object code 7653 (Ground Transportation^Domestic Travel).
