Position Tracking is Live

New Job Code: Temporary Non-Exempt Employees with Variable Schedules

There is a new job code available in Empl Class T for Temporary employees who are working a non-exempt, variable hour workweek.  This job code was created for a new category of Temporary employees named Occasional High Hour Contingent Workers (OHHCW). The code may be used for Temporary employees that work sporadically during the fiscal year (July 1 – June 30) that meets the following criteria:  

  • They may work up to 455 hours per fiscal year
  • They may work up to 12 weeks per fiscal year

Sales Tax Exemption Certificates and Online Sellers

Recent changes to Massachusetts sales tax regulations may affect Harvard purchasers in some situations. Massachusetts now requires “out-of-state remote sellers and marketplace facilitators” – online sellers and marketplaces (like Amazon and eBay) that don’t have a physical presence in Massachusetts to collect sales tax on sales made to purchasers in the state. This means that more out-of-state online sellers might attempt to charge Harvard sales tax, or ask for Harvard’s sales tax exemption certificates. New Form W-4 for 2020

The Internal Revenue Service (IRS) has announced that they will release a new Form W-4 for calendar year 2020. Starting 1/1/20, all new employees and any current employee who wishes to change their withholdings will be required to use the new form, which we expect will be incorporated into the electronic W-4 in PeopleSoft.

BCD Travel Authorization Form Process Being Discontinued

October 17, 2019

The Web Voucher Travel Authorization Form (TAF) process with BCD will be discontinued on December 31, 2019. BCD will continue to be one of our Preferred Travel Agencies which include: BCD Travel, Egencia, The Travel Collaborative, Milne Travel and HTT. In order to purchase tickets you will now need to charge a Department Card, Corporate Card or the traveler’s personal card.

GMAS

The next GMAS release is scheduled for November 18, 2019, featuring direct integration with the ESTR system (IRB protocols).

  • IRB approvals will no longer be directly edited in GMAS.
  • In ESTR, IRB studies can be linked to GMAS projects.
  • In GMAS, the IRB approval will show the latest status and high level details from ESTR, including a link directly to the study in ESTR.
