Reminder about the Annual Salary Increase Process & Costing Copy

Annual Salary Increase

We are coming up on the Salary Increase for Administrative Professionals on July 1st. The process is the same as last year and the ASIP upload deadline is June 27th at 5:00 p.m.

Costing Copy

This year's costing copy process will run on Sunday, June 17th to insert the new FY 2019 costing rows. The FY 2019 costing rows will be inserted with a 07/01/2018 effective date.

For tubs/units, this means that prior to 06/17/2018, no costing changes effective dated 07/01/2018 or later, can be submitted. These will need to wait until 06/18/2018.

For costing changes effective dated between 06/17/2018 and 06/30/2018 that are entered after Costing Copy is complete:

Existing Employees: Any changes to an employee's costing occurring (effective dated) between June 17th and June 30th will need to be entered on both the employee's FY 2018 and FY2019 costing row. Make sure to choose the Override Future Costing radio button in the Job Data Change form to ensure the FY 2019 row is updated. HUBS: Year-End Actuals Schedule and FY18 Reminders

For your convenience the year-end Actuals Load Schedule has been posted to the HUBS Wiki: https://wiki.harvard.edu/confluence/display/FSSHUBS/Actuals+Load+Schedule.

In addition, please note that the new fiscal year, FY19, will be recognized as the current fiscal year in HUBS on the following dates:

  • In the Reporting Applications starting on the morning of Monday, July 2
  • In the Planning Applications starting on the morning of Monday, July 9

If you have reports to run and you would like FY18 to show as the current year, run them on or before Friday July 6 because the current fiscal year will change during processes that will run over the weekend of July 6.

my.harvard Monthly System Maintenance

On the weekend of June 23-24th, my.harvard will undergo mandatory system maintenance. The maintenance window is determined by the vendor who hosts our servers. Each maintenance period is quoted for 7 p.m. Saturday - 7 p.m. Sunday, though most times the system is available much sooner.

Procurement Policy Information Session

Effective 7/1/18, a new Procurement Policy goes into effect. The information session will review the policy’s conflict of interest standards, purchase threshold documentation requirements based on funding type, and best practices for Preferred Vendors, special purchases, tax exemptions and other topics. Individuals making purchases with federal, cost-share, or expenses moving onto federal funds may want to attend this session to understand changes to federal purchasing requirements.

 

The session will be held on Friday, June 29 from 11:00-12:00 in the Lamont Library, Forum Room. Financial Management of Property, Plan and Equipment (PPE) Policy Information Session

Wondering when you should capitalize property and equipment as well as tag and put it into the Oracle Fixed Assets system?

OBIEE Updates

June 14, 2018

This update relates to the non-student Accounts Receivables, CAPS, Cash Management, Chart of Accounts, CSMA, Financials, Grants Management, Procure to Pay, Travel & Expense, and User Security folders.

OBI "By the Numbers" for May 2018

  • 99.1%: Percentage of queries that completed in 1 minute or under (Hard to beat that!!!)
  • 1,459: Number of distinct users in OBI for ALL subject areas
  • 172,144: Number of distinct requests made in ALL subject areas
    • The “Transaction Listing All” dashboard continues to make up almost half of all the requests at the university (76,224 requests)

June Monthly OBI Release

The next OBI release will begin on Thursday, June 21st at 6 p.m.  All changes will be implemented and the release complete by 9 a.m. on Friday, June 22nd.  Check out the newly updated OBI 3 Month Release Plan and Backlog wiki page for details of the dashboard changes in this release.... DMS Cloud Migration Project

The Harvard Data Warehouse will be migrating to Amazon Web Services (otherwise known as AWS or the Cloud) during the month of September 2018. In preparation for this migration, the APT5 Cloud Migration team has been working furiously: prototyping a gateway to access the databases, developing a disaster recovery plan, and preparing for production readiness.

 

Over the upcoming summer months, Data Management Services (DMS) will be reaching out to impacted stakeholders with the testing schedule and asking them to participate in our testing cycles. Participation in the testing cycles is critical to ensure that there will be no service interruptions after the migration. DMS appreciates your help with this process.

Email Required for All New Vendors

Beginning in June, the Oracle Vendor Request Form will require an email address for all new vendor types (individual or entity). Best practice is to reference a generic contact where possible, such as a central accounts receivable email address. This will help to enhance the university’s ability to update vendor data as we work toward future paperless solutions.
