  • Engage with Local Implementation Managers (LIMs) on a monthly basis to begin the BRIO conversion and Tableau implementation process
  • Compile a list of the current BRIO/IR user population with guidance from the LIMs
  • Distribute and review a BRIO/IR User Survey to help determine the number and complexity of .bqys to be converted to Tableau

Latest from the Project

DMS is pleased to announce that license negotiations with Tableau have been completed and the contract has been signed.  As we move forward with implementation, Local Implementation Managers (LIMs) from participating schools have been defined and they are working with us to:

  • Define the BRIO/IR/Ad Hoc Reporting user community
  • Review a survey to these users to help determine the number and complexity of .bqys to be converted to Tableau
  • Appoint a local BRIO/IR Conversion Facilitator/Manager to oversee the .bqy conversion process for their school/unit
  • Meet with DMS after the survey is completed to coordinate the delivery of a .bqy inventory and determine school readiness for conversion and other implementation activities

The first monthly LIM meeting was held on Thursday, August 8th.  These meetings will continue throughout the project implementation period.  For information on who in your school/unit is serving as a LIM, visit the ARP wiki site.... Read more about Ad Hoc Reporting Project Update

Ad Hoc Reporting Project Update

July 11, 2019

The Ad Hoc Reporting Project (ARP)’s mission is to implement a modernized ad-hoc reporting software solution (Tableau) and support the migration from Brio to the new platform. Our number one guiding principle for this project is to advance HUIT’s vision of empowering the Harvard community through technology that enables effortless access to data, information and knowledge.  Data Management Services (DMS) is happy to announce that the funding for the project has been released so that work can start in earnest in FY20.

Currently, DMS is actively working with Tableau to:

  • Review and negotiate licensing options
  • Identify consulting partners to assist Brio/IR users converting their queries to Tableau
  • Identify training tracks for the Ad Hoc community
  • Provide monthly informational sessions for the Brio / IR users called Tableau Days
  • Complete a Vendor Risk Assessment to ensure proper security

Latest from the Project

At the end of June, Tableau notified DMS that our Tableau Online Trial site will no longer be accessible after 6/28/19.  The trial site was always intended to be a "proof of concept" site that would not be available after a certain period.  DMS is in the process of obtaining a full export of all content from the trial site, to preserve all reports/data source/etc that may have published there.

Users who have started the Brio report conversion process to Tableau can continue to use the Tableau Desktop trial to do so until license negotiations have been completed with Tableau.  Users can share reports securely via email, using Kiteworks, or they can direct those validating Tableau report to download and use Tableau Reader, a free viewing tool, to do so.... DMS is happy to state that the second Tableau Day was a success.  Justin Grosz from Harvard Business Publishing (HBP) spoke about how HBP uses Tableau for quarterly reporting automation.  Tableau’s topics included best practices, an overview of Tableau, and a review of how to create spreadsheets in the system.

Planning is currently underway for the next Tableau Day on Thursday, June 27th.  Tableau Day will be held in the 4th floor Summit Room at 784 Mount Auburn Street.  Tableau and Harvard presentations will be held from 11:00 a.m. to 1:30 p.m., with Doctor Sessions running from 1:30 p.m. through 3:00 p.m.
